POSITION SUMMARY

The Community Engagement Coordinator will lead a team of 1099 independent contractors and execute volunteer recruitment plans for events. This role involves managing team schedules and priorities, training recruiters, and ensuring flawless logistics to meet outreach goals. The ideal candidate will be detail-oriented, adaptable, skilled at multitasking in a fast-paced environment, and demonstrate strong leadership in guiding teams to success.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The essential functions include, but are not limited to the following:

  • Directly report to the Community Engagement Manager
  • Guide and support a diverse team of 1099 independent contractors to meet quality standards and performance expectations.
  • Conduct individual weekly check-ins with 1099 team to track progress and ensure alignment.
  • Communicate schedules and operational changes to the 1099 team effectively.
  • Ensure show needs stay within predetermined budget, able to quickly pivot as needed.
  • Update the team sheet daily with accurate information.
  • Execute outreach plans for events and shows, ensuring all logistics are handled flawlessly.
  • Schedule and assign weekly shows for the 1099 team.
  • Coordinate with team to meet show deadlines.
  • Create, organize, and analyze sign-up data.
  • Onboard and train new 1099 recruiters.
  • Set up and participate in the hiring and interview process for 1099 team.
  • Manage load-in/load-out logistics, runner needs, billing, and communication.
  • Manage Trello boards, cards, and tags for all recruiters to streamline workflows.
  • Oversee Octoparse to identify new leads and contacts by city.
  • Track volunteer agreements and document them as required.
  • Manage the company customer service email and voicemails, responding promptly.
  • Assist in implementing new outreach lanes and importing leads into the CRM.
  • Assist 1099 team with troubleshooting technical issues related to various tools.
  • Attend necessary meetings to stay informed and contribute as needed.
  • Think outside the box to address shows with insufficient sign-ups.
  • Problem-solve and propose new ways to pivot when challenges arise.
  • Step in to recruit as needed to support team efforts.

QUALIFICATIONS

  • Attention to detail, thoroughness, strong grammar, proofreading, and excellent written and verbal communication skills.
  • Proficiency in computer applications, including Google Suite.
  • Ability to work independently and efficiently in a fast-paced environment, managing multiple and changing priorities while focusing on execution and results.
  • Strong interpersonal and leadership skills with the ability to communicate effectively at all levels.
  • Proven experience in performance management, including setting goals, conducting evaluations, and providing constructive feedback.
  • Experience in conflict resolution and maintaining team morale.
  • Ability to delegate effectively, ensuring tasks are completed efficiently and accurately.
  • Decision-making ability to make informed choices aligned with company goals and priorities.
  • Ability to work quickly, multitask, and meet strict deadlines.
  • Flexible, can-do attitude with the ability to adapt and pivot as necessary.
  • Capacity to handle stress and remain calm under pressure.
  • Knowledge of and experience with the music business and onsite event management logistics is preferred but not required.

Ability to work for long periods at a computer/desk

Employment Status: Full-time, Hybrid (In office Tuesday through Thursday)
